Data Standards
In 2018, TCSG Leadership asked the TCSG Data Committee to review and overhaul the system’s data standards. The Data Committee’s review included developing a new data standard template as well as migrating the standards to a searchable and secure online repository, known as Connie.

All standards reviewed and approved by the Data Committee are now located in the new repository.

Review Process
The Data Committee review process begins with the data owner. The data owner reviews the standard, seeks input from colleges, identifies necessary changes, and recommends that the Data Committee either revise, rescind, or approve with no substantive changes. The Data Committee then discusses and recommends a course of action. Each standard is migrated to the new data standard template, which provides information such as where the standard appears in TCSG’s Data Elements Manual, which KMS reports are affected by the data standard, a history of substantive revisions, and follow-up actions to be taken after the standard is approved. Each data standard now includes Banner 9 screen shots to facilitate implementation. The final standard is then routed for approval and saved to Connie.

Communicating Changes
TCSG’s review of the data standards is an ongoing process. TCSG shares updates at peer group meetings and emails peer group listserves periodically to communicate data standard revisions. Additionally, the Data Elements Manual (DEM) now includes a Revision History, which lists substantive changes to the DEM. Furthermore, the data standard naming conventions indicate whether the standards were approved with no substantive changes (Approved), substantively revised (RevisionApproved), or rescinded and made inactive (Rescind).
