CHECS File Descriptions

Historical Snapshot: The purpose of the Historical Snapshot is to document the HOPE/Zell Miller Scholarship & Grant status for students that are eligible to receive HOPE/Zell Miller Scholarship or Grant during Fall 2018 or those that may become eligible. CHECS will use the Snapshot file to determine the “starting point” for future HOPE/Zell Miller Scholarship and Grant GPA calculations. The snapshot file contains the information used to determine eligibility for Fall Semester 2018. Historical Snapshot files were submitted to CHECS during Fall 2018 (Banner term: 201912) only. Manual historical snapshot records must be entered into CHECS for students as after the Fall 2018 overall file generation by TCSG.

Transcript Data: The purpose of the Transcript Data file is to facilitate the batch loading of academic data, by term and student, into the CHECS system for GPA and Checkpoint calculations. TCSG will submit the Transcript Data file for each TCSG College at the end of each term after the grades are final (see ‘Control Form’, ‘Grades Processing Date’). Additionally, grade changes and any CHECS transcript records previously rejected (transcript error) will be submitted to CHECS daily. Once CHECS receive any Transcript Data file, it will process the file and provide updated GPA and Checkpoint information back to TCSG via the GPA/Checkpoint file. GPA and Checkpoint information will be loaded into TCHECS and the corresponding Banner tables.

CHECS Request Data: The purpose of the CHECS Request data file is to request GPA and Checkpoint data from CHECS for the batch of students loaded in the file. The following students are automatically extracted from each college’s Banner system by TCSG and included in the daily CHECS Request Data file. 1) All students with current or future term admissions application. (Note: Receipt of admissions application only, official admittance is not required for this process.) 2) All students with current or future term registration. 3) All students with HOPE or Zell Miller Grant/Scholarship awarded for the current or future aid year. 4) All currently enrolled students with a major code change for the next term.

GPA/Checkpoint File from CHECS: The purpose of the GPA/Checkpoint file is to facilitate the passing of HOPE-related GPA and Checkpoint data from CHECS to the college. This file is created as the result of TCSG submitting either the CHECS Request file or a Transcript Data file. Data from this file is used for awarding of HOPE/Zell Miller Scholarship and Grant programs. The file contains fields for the most recent Scholarship and Grant Checkpoints and related GPA data as well as fields for the current GPA (which may be more recent than the last Checkpoint GPA).
